Job Description

Large plaintiff litigation firm in Century City is seeking an experienced Executive Assistant to provide direct support to a law firm Partner. This role requires a highly organized, proactive, and discreet professional capable of managing complex administrative and legal support tasks. The ideal candidate will have experience in a law firm setting and be comfortable navigating both high-level executive assistance and basic legal administrative duties.

Executive & Administrative Support

  • Provide high-level support to the Partner, ensuring exceptional organization and communication on their behalf.
  • Manage the Partner's calendar, including scheduling, conflict resolution, and prioritization.
  • Prepare documents, reports, presentations, and agendas using Microsoft Word, Excel, and PowerPoint.
  • Arrange and coordinate travel, accommodations, and itineraries.
  • Answer, screen, and route phone calls; manage email and text communications with urgency and professionalism.
  • Track deadlines, tasks, and key initiatives; ensure timely follow-up on all action items.
  • Assist with firm-wide initiatives focused on operational efficiency, compliance, and software implementation.

Legal & Paralegal-Style Tasks

  • Conduct preliminary legal research using Westlaw, PACER, and other legal databases.
  • Monitor and maintain court dockets, calendaring key dates and deadlines for the Partner.
  • Draft, review, and format basic legal documents, correspondence, and client communications.
  • Organize and maintain case files (digital and physical), pleadings, and discovery documents.
  • Assist in trial preparation, including compiling exhibits, witness lists, and trial binders.
  • File legal documents electronically with courts and administrative agencies.
  • liaise with court clerks, opposing counsel, and clients on behalf of the Partner.
  • Maintain compliance with legal filing requirements, deadlines, and internal protocols.

Qualifications:

Minimum 5 years of experience as an Executive Assistant, with at least some exposure to legal or professional services environments.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong legal research skills and familiarity with legal database tools.
  • Excellent written and verbal communication skills.
  • Proven ability to handle confidential information with the highest level of discretion.
  • Ability to multitask, prioritize competing deadlines, and remain calm under pressure.
  • Professional demeanor and the ability to interact confidently with attorneys, staff, clients, and court personnel.
